Transforming Hiring at Scale: How Columbus City Schools Reimagined Applicant Tracking with Salesforce and Tableau
May 29, 2026 | Elise Hastings
In the heart of one of America’s largest cities, Columbus City Schools (CCS) serves as a cornerstone of education in Ohio. As the largest public school district in the state, CCS supports 47,000 students across 115 schools (Pre-K–12) with a dedicated workforce of 9,500 employees. Located in the 15th largest city in the United States, the district is driven by a powerful mission: to ensure each student is highly educated, prepared for leadership and service, and empowered for success as a citizen in a global community.
But delivering on that mission requires more than great educators—it demands efficient, modern systems to attract and hire top talent. For CCS, that’s where the challenge began.
The Challenge: A Fragmented Hiring Ecosystem
Before adopting Salesforce, the Columbus City Schools Human Resources department faced a complex and inefficient hiring landscape. Over time, their applicant tracking processes had become fragmented across multiple tools and workarounds.
Key pain points included:
- Multiple Systems: CCS relied on five separate systems to manage different types of positions, creating confusion and inefficiency.
- Siloed Information: These systems operated independently, with no integration between them or with other district tools—making it nearly impossible to get a complete picture of hiring activity.
- Unusable Data: Data was fractured and difficult to act on, with limited import/export capabilities. Reporting required manual effort and often lacked accuracy.
- Ad Hoc Workarounds: To compensate, teams built numerous forms, spreadsheets, reports, and dashboards outside the systems, further complicating workflows and increasing risk.
The result? A hiring process that was time-consuming, reactive, and lacking the visibility needed to make strategic decisions.
The Journey: Reimagining Onboarding with Salesforce
Recognizing the need for transformation, CCS embarked on a journey to reimagine its onboarding and applicant tracking processes. Rather than simply patching existing systems, the district set out to build a foundation for long-term innovation.
Selecting a Unifying Platform
CCS identified the need for a single, scalable platform that could unify processes, eliminate redundancy, and serve as a catalyst for future improvements. Salesforce emerged as the ideal solution.
Exploring the Challenge
The district engaged in broad stakeholder conversations to fully understand the current state—its pain points, dependencies, and opportunities for change.
Embedding Research into Reality
Teams went beyond surface-level insights by shadowing users in real time, observing how they worked and asking critical “why” questions to uncover root causes.
Encouraging “Why Not” Thinking
Instead of incremental improvements, CCS fostered innovative thinking, empowering stakeholders to imagine entirely new ways of working.
Finding the Right Partner
To bring the vision to life, CCS collaborated with a trusted implementation partner, Elevation Solutions, ensuring alignment, expertise, and a shared commitment to long-term success.
The Solution: A Unified Applicant Management System
With Salesforce as the backbone, CCS implemented a centralized Applicant Management System (AMS) that replaced fragmented tools with a single, integrated platform. This new system streamlined workflows, unified data, and provided real-time visibility into hiring processes. Salesforce Education Cloud is CCS’s new source of truth, with integrated Salesforce AppExchange solutions FormAssembly and Adobe Sign.
Reporting in Tableau: Reporting for Leadership Pathways
Columbus City Schools partnered with Elevation Solutions to modernize its leadership pathway process for Principals and Assistant Principals using Salesforce and Tableau. Because the district’s hiring and approval process is extensive, Elevation Solutions developed a centralized system that gives district leaders greater visibility into candidate readiness, school needs, and approval progress—all within a connected platform.
The solution introduced customized School Profiles and Applicant Profiles in Salesforce, along with automated approval workflows and Tableau dashboards that support strategic hiring decisions. By streamlining collaboration across HR and district leadership teams, Columbus City Schools now has a more efficient, transparent, and data-driven approach to developing and placing school leaders.
Key Solution Highlights
- Centralized School Profiles to align leadership candidates with campus-specific needs
- Applicant Profiles to track interviews, evaluations, certifications, and hiring progress
- Automated approval workflows to reduce bottlenecks and improve accountability
- Tableau dashboards providing real-time insights into hiring pipelines and leadership trends
Now Columbus City Schools can consolidate data from multiple sources (student data warehouse, community surveys) to get a better understanding of the makeup and needs of the school, and recruit and hire leaders who reflect those needs using their Salesforce ATS. Applicants can log in and self-report on their experience leading schools, working with certain populations (ELL, Special Education, etc.), and give additional background beyond what was required on the application if they choose.
The Results: Measurable, Transformative Impact
The shift to Salesforce delivered immediate and lasting benefits across Columbus City Schools:
